Before the Bulk Order: A Hotel Textile Sample Approval Checklist

Sample approval is the point where a purchasing idea becomes a defined product. It is worth treating it as a documented review rather than a quick yes to the first fabric that feels good. A clear record gives procurement, housekeeping and the sourcing team the same reference when discussing production.

Identify what the sample represents

Assign the sample an item code and revision. Record its fibre composition, construction, dimensions, colour and any supplier-stated technical details. Note whether it is a stock reference, a fabric swatch, a development sample or the proposed finished item.

Ask explicitly which features match the intended order and which remain to be developed. For example, a plain robe may demonstrate the base fabric but not the final embroidery. Keep those open points visible so approval of one element is not mistaken for approval of everything.

Check fit and use in a real setting

Make a bed with the sheet, duvet cover or protector. Fold towels on the intended shelf. Examine robe sizing, belt position and pocket placement. Invite the staff who will handle the product to note practical concerns.

Record observations in a simple review sheet: requirement, result, reviewer and action needed. Separate a personal preference from a specification failure. 'We prefer a smaller logo' needs a design decision; 'the fitted sheet does not cover the measured mattress' needs a fit correction.

Agree a meaningful wash assessment

Discuss a sample laundering trial with the laundry team and supplier. Record the process and measure relevant items before and after treatment. ISO 5077 describes a method for determining dimensional change after washing and drying; it does not supply a universal acceptable shrinkage percentage for every hotel textile.

Set the project's acceptance criteria and any required testing arrangements with the supplier. The number of trial cycles, tolerances, sample costs and timing should be confirmed for the enquiry rather than assumed.

Close the review in writing

Compile the approved specification, dated photographs, sample reference and any agreed corrections. Clarify who is authorised to approve the next revision and what information must be confirmed before an order proceeds.
