Sourcing Hotel Textiles from Türkiye: How to Write a Clear Request for Quotation
A clear request for quotation helps a hospitality buyer compare complete proposals rather than a collection of prices that refer to different products. When sourcing hotel textiles from Türkiye, the most useful starting point is an itemised brief covering the product, approval process and intended delivery. HADARA Hospitality is based in Istanbul and works with Turkish manufacturing partners to discuss these requirements.

Write an item schedule suppliers can price
Give every item a separate line with its name, dimensions, quantity, proposed material details, colour and construction requirements. Group items into bed linen, bathroom textiles, robes and slippers, protectors and leisure textiles where relevant.
Include room-type quantities and any replenishment needs. If a specification is still open, say so and request clearly identified alternatives. A supplier should be able to distinguish a fixed requirement from an option you want help evaluating.
State sample and customisation questions explicitly
Describe which samples you need and the decisions they must support. Add artwork, logo dimensions, placement references and label or packing requirements where applicable. Ask the quotation to identify the proposed approval steps.
Request confirmation of sample arrangements, development costs if any, quantities, production timing and availability for the actual items. These are enquiry-specific points. Do not assume sample approval, branding options or a minimum order will be identical across all products.
Compare delivery on the same basis
State the delivery destination and ask what the quoted price includes. If Incoterms rules are used, request the named rule, version and named place or port as applicable. ICC describes these rules as a framework allocating delivery-related responsibilities, costs and risks between buyer and seller.
Review transport, insurance, clearance and other delivery responsibilities alongside the product price. Ask which documents the shipment will require and have the relevant parties confirm destination requirements. The delivery basis should be clear before comparing two offers.
Request evidence for claims that matter
If the project requires certification or a tested property, identify it in the brief and ask for documentation covering the proposed product. OEKO-TEX STANDARD 100 relates to testing for harmful substances; the presence of a general reference in a brochure does not establish that a particular offered item is certified.
Keep the approved specification, sample reference, quotation and open questions together. HADARA Hospitality can discuss sourcing, sample coordination, customisation and delivery arrangements through its manufacturing partners. A complete RFQ helps move those discussions toward a defined purchasing decision.
